Global legal technology consultancy and NetDocuments diamond partner Verlata Consulting has entered into partnership with data discovery and information governance provider ActiveNav to help law firms across APAC and EMEA identify, govern, and secure unstructured data.
Law firms of all shapes and sizes are plagued by matter documents being stored outside of the document management system, in network file shares, cloud storage, local drives, and other unstructured repositories. ActiveNav Cloud discovers and classifies this content, then enables firms to remediate it, whether that means importing documents into NetDocuments, disposing of documents in accordance with retention policies, or securing them in place.
Speaking to Legal IT Insider, Verlata’s chief relationship officer Tony Bleasdale said: “People are saving documents outside of their document management systems on local drives and things like that. The security that ActiveNav is now providing is just incredible. They have the ability to look across a firm and say ‘you’ve got all this content shared here, here and here,’ and their platform does the security analysis across an organisation. We have a risk and compliance team that does everything from anti-money laundering to information security and can help law firms create policies, manage risk and lock down systems of record. So that’s where the partnership sits hand in glove.”
Data stored incorrectly is a concern from multiple security perspectives, including a lack of provisioning in terms of who can see the document.
Bleasdale told us: “That was the bit that made the penny drop for me. When I was sat in a room of people who said, ‘The other day we discovered this person has dragged documents here and this person is dragging emails there.’ How are they then making sure it doesn’t sit in SharePoint for the next three months with everyone having access to it?”
However, a multi-prong approach is needed to remedy the situation. Bleasdale says: “We have products that will help people build information barriers and can deal with the workspace management with NetDocuments. But that will only come after people have proper policies in place. It’s not like everything can be fixed with technology. You’ve got to have better behaviours now more than ever.”
